How SmileJet operates in Vietnam

What SmileJet is and is not

SmileJet is a curated marketplace for dental tourism. We do not own the partner clinics. The dentists who treat you are employed by independent Vietnamese clinics that have entered into a referral and verification arrangement with SmileJet. Your clinical relationship is between you and the partner clinic; SmileJet's role is verification, matching, coordination, and the country-wide guarantee that backs the network.

This matters for understanding what we are accountable for. We are accountable for who we let into the network, the standards we apply, and the guarantee we offer. We are not the medical provider. The treating dentist is. This is the same structure most dental tourism marketplaces use; we publish it explicitly so patients understand the relationship.

Partnership structure

Each SmileJet Vietnamese partner clinic signs a partnership agreement that obliges them to:

  • Pass and maintain compliance with our 18-point verification methodology
  • Honour the published treatment quote with no on-arrival upcharges except where the in-clinic consultation reveals genuinely different case complexity (in which case re-quoting is required and the patient may walk away)
  • Deliver English-speaking treatment from a treating dentist or dental coordinator
  • Provide a written treatment plan and post-treatment record in English
  • Honour the SmileJet treatment coordination support for SmileJet-referred patients, including absorbing re-treatment cases referred from other partner clinics in the country-wide network
  • Submit patient outcome data to SmileJet for the 12-month period post-treatment
  • Submit to the annual re-audit and any off-cycle inspections triggered by outcome data, complaint patterns, or material operational changes

In exchange, partner clinics receive curated patient referrals from SmileJet, listing on the SmileJet platform, and the marketing visibility that comes with verified-network status. SmileJet does not require exclusivity — partner clinics may take patients from other sources, including walk-ins and other marketplaces.

Payment flow

Patients pay treatment costs directly to the Vietnamese partner clinic, typically in two parts: a deposit on consultation confirmation, and the balance on completion of treatment. The currency is patient choice — most clinics accept USD by card, AUD/EUR/GBP by international card, or Vietnamese Dong by local card. Some clinics accept bank transfer for larger cases (typically full mouth or All-on-4), with discounted rates of 1-3% off the card price.

SmileJet does not collect treatment fees from patients. We do not hold patient funds in escrow. The financial relationship is between you and the partner clinic. SmileJet's revenue comes from a placement fee paid by partner clinics on confirmed treatment cases — this is a small percentage of the case value and does not increase the patient price (clinics on SmileJet charge the same prices they would charge a walk-in patient at their published rates).

The exception is the SmileJet platform fee, which is the deposit some patients pay to SmileJet at quote-confirmation stage to lock the matched clinic. This is refundable in full per the terms of the Vietnam Promise — if we cannot match you to a suitable clinic in your chosen Vietnamese city within seven days of inquiry, or if the case turns out to be unsuitable on arrival.

Regulatory posture

Dental practice in Vietnam is regulated by the Vietnamese Ministry of Health, which maintains the practitioner registry, sets practice standards, and licenses dental clinics. Every SmileJet partner clinic is licensed under this framework, and every treating dentist on the registry. Specialist credential claims (implantology, prosthodontics, etc.) are verified against post-graduate qualifications during our 18-point process.

SmileJet is not itself a regulated medical provider in Vietnam — we do not deliver clinical care, so there is no clinical-licensing requirement applicable to us. Our regulatory posture is as a marketing and referral platform with a verification layer; the medical regulation rests with the partner clinics.

For UK and EU patients comparing this structure to dental tourism in EU countries (Hungary, Poland), the relevant difference is: those EU countries place SmileJet-like marketplaces under broader EU consumer-protection regulation. Vietnam does not have an equivalent framework. Our country-wide verification methodology and treatment coordination support are our compensating mechanism, but they are private contractual commitments, not regulatory backstops.

Dispute resolution

If a clinical issue arises that the partner clinic and SmileJet do not resolve to your satisfaction, the dispute resolution path is:

  1. SmileJet review. The complaint is escalated to the SmileJet operations lead, who reviews the clinical record, the original treatment plan, and the issue you have raised. In most cases this resolves the dispute through a treatment-coordination remedy under the guarantee.
  2. Independent clinical review. If the dispute concerns whether an issue is treatment-related or non-covered, we engage a Vietnamese dental specialist outside the partner network for an independent clinical opinion. The cost of this review is borne by SmileJet.
  3. Vietnamese Ministry of Health complaint. Patients have the right to file a complaint against the treating clinic with the Vietnamese Ministry of Health under the standard regulatory process. SmileJet provides documentation and English-language interpretation support if you elect this route.
  4. Civil legal recourse. Patients have the option to pursue civil action against the partner clinic under Vietnamese law. Realistically, this is rarely an effective remedy for international patients given the cost of pursuing Vietnamese court action from abroad. We acknowledge this honestly. Our preference is to resolve disputes through the operational steps above.

The country-wide guarantee is structured to give patients an operational remedy (re-treatment) before legal recourse becomes the only path. Most disputes that do not resolve via guarantee re-treatment relate to scope disagreements rather than clinical failures, and the clinical-review step typically settles them.

Tax, customs, and what to declare returning home

Dental treatment received abroad does not need to be declared at customs in any of our origin markets (Australia, New Zealand, US, UK, Canada). Dentures and removable prosthetics are also fine — they are personal medical devices. Implants and crowns placed in your mouth are not goods being imported; they are part of your body upon arrival home.

For tax purposes, dental treatment costs may be deductible against medical expenses depending on your jurisdiction. In Australia, the Medicare Safety Net does not cover overseas dental work, but private health insurance with overseas dental coverage (some extras policies) may reimburse a portion. In the US, dental work qualifies for medical expense deduction if total medical expenses exceed 7.5% of adjusted gross income. UK NHS does not cover overseas dental work; private dental insurance occasionally does. Always check with your tax advisor and insurer for your specific case.

Take-home items from your treatment trip — temporary removable prosthetics, retainers, take-home whitening trays, prescription medications — are personal-use and do not require declaration unless quantities are unusually large.

How the matching and quote process works

When a patient submits an enquiry through the SmileJet platform, the matching process works as follows. The coordinator reviews the submitted information: dental photos, any available X-rays, the patient's stated treatment goals, preferred city, and availability window. The coordinator matches the case to the most appropriate verified partner clinic in the chosen city based on the case type, available appointment schedule, and the specific clinical strengths of each clinic. For implant cases, the pre-treatment X-ray is shared with the clinic director before the match is confirmed, allowing the clinic to indicate whether the case is straightforwardly within their scope or may require CBCT assessment before a final quote is issued.

The quote issued by the partner clinic through SmileJet is itemised: each procedure line is listed separately with a price in USD. The quote locks the price for the agreed scope for a defined period (typically 90 days). If you accept the quote and pay the SmileJet platform fee, the appointment is confirmed and the deposit payment to the clinic can proceed. The quote you accept is the price you pay for the documented scope; on-arrival re-quotes only occur if the in-clinic CBCT or examination reveals genuinely different case complexity that was not visible from the pre-submission photos or X-rays.

Patients sometimes ask whether they can negotiate the quoted price. Partner clinic prices are set by the clinics themselves and are not typically negotiable through SmileJet. The prices within the SmileJet network are already at the partner-clinic rate, which is the standard rate clinics charge international patients. SmileJet does not add a markup on top of clinic prices. If you find a lower quote for the same procedure and brand at a different Vietnamese clinic, contact SmileJet — we will check whether the comparison is genuinely like-for-like (same implant brand, same prosthetic tier, same clinical team) and advise honestly.

What happens if something goes wrong

A clinical issue arises within 12 months

Contact SmileJet via the contact channel on your treatment record. The coordinator triages the issue, collects photos and any home-dentist documentation, and coordinates a clinical review with the original treating partner clinic or with an independent clinical reviewer. If the issue is confirmed as treatment-related and within the coverage scope, re-treatment is arranged at any SmileJet partner clinic across the five Vietnamese cities at no clinical cost to you.

The treating clinic closes or leaves the network

If a partner clinic closes or is removed from the SmileJet network after treating you, the country-wide treatment coordination support transfers to the next nearest verified partner clinic in the same city or in your preferred alternative city. Your treatment record travels with the network guarantee; you are not left without recourse if the specific clinic is no longer in the network.

There is a scope or price dispute on arrival

If the in-clinic consultation reveals a scope change that results in a revised quote, and you disagree with the re-quote, do not proceed with treatment. Contact your SmileJet coordinator before leaving the clinic. SmileJet will review whether the re-quote is clinically justified based on the CBCT data and the original submission materials. If the re-quote is unjustified, SmileJet mediates directly with the clinic. If it is justified by genuinely different case complexity, your options are to accept the revised quote, request transfer to an alternative partner clinic for a second opinion, or exit with a full refund of the SmileJet platform fee.

You want to change clinics after the initial match

You can change your matched clinic before treatment commences. Contact your SmileJet coordinator to request a re-match in the same city. Reasons for re-matching include consultation style not fitting your preferences, scheduling incompatibility, or a second-opinion desire on a specific case complexity assessment. Changing clinics after treatment has commenced and specific materials (implants, prosthetics) have been ordered raises cost implications; your coordinator will clarify the applicable terms before any change is made.
